Building a Dental Patient Referral Program
Most dental referral programs quietly fail because nobody remembers they exist. How to build one patients actually use, without breaking anti-kickback rules.
Dental Digital Marketing
We fill chairs, not reports. Medihike builds your website, owns your local search presence, and runs the ads, then shows you exactly how many new patients each one produced and what they cost.
The Problem
A dental practice usually doesn’t have a traffic problem. It has a conversion problem, a visibility problem, or a tracking problem, and it can’t tell which one. Here’s what we find most often:
01Traffic arrives and leaves. No online booking, no insurance information, no pricing signals, and a contact form that asks for eleven fields before a patient can ask a simple question.
02Search “dentist near me” on a phone in your own city. The map pack fills the screen, and the organic results sit below the fold. If your Google Business Profile isn’t optimised and your reviews are stale, you’re not in that box, and your website can’t rescue you.
03Bidding on “dentist” buys everyone, including people three cities away and people comparing prices with no intention of booking. Campaigns built around implants, Invisalign, and emergency treatment reach patients worth several times as much.
04Calls come in, appointments get booked, and nobody knows whether it was the ad, the map listing, or a referral. Without that, every budget decision is a guess.
Most agencies quote you one number for “dental marketing” and spread it evenly. That’s why the results feel random.
A hygiene recall and an implant case are completely different marketing problems. One is a reminder to somebody who already knows you. The other is a five-figure decision made by somebody comparing three practices over several months. They need different keywords, different ad copy, different landing pages, and wildly different budgets.
Before we spend anything, we work out what each treatment is worth to your practice and what you can afford to pay to acquire one. Then the budget follows the value. If implants carry your margin, that’s where the money goes.
It also means we can tell you when to stop. If a campaign is producing patients at a cost that doesn’t clear your case value, we’ll say so rather than quietly keep billing for it.
What We Do
A site built around your highest-value treatments. Dedicated pages for implants, Invisalign, cosmetic, and emergency care, with online booking, insurance and financing information, and fast mobile load times. Hosting, security, and monthly improvements included.
We optimise your profile, build treatment and location pages, fix your citations, and set up a review system that keeps recent reviews coming in. The goal is the local three-pack in every city you serve.
Segmented by treatment value. Implant, Invisalign, and emergency searches get their own budgets, ad copy, and landing pages, because somebody searching “emergency dentist open now” behaves nothing like somebody researching veneers.
Treatment page graphics, before-and-after layouts, patient education material, social content, and print for the operatory. Unlimited requests, one flat monthly rate.
Every call, form, and booking traced to its source. You see cost per booked patient by channel, by treatment, and by location.
Somebody ringing a dental practice at 8pm is usually in pain and books with whoever answers. An AI front desk picks up after hours and at lunch, books the appointment, and escalates anything clinical to a human. Emergency calls are the highest-value calls you get, and they arrive when you’re shut.
Step by Step
Who It Is For
01You want a steady flow of new patient exams and hygiene recalls without hiring a marketing person. Start on Foundation at $1,000 a month, which includes the AI front desk, and scale when the numbers justify it.
02Fewer patients, higher case value. Your marketing has to reach people weighing a $3,000 to $30,000 decision and stay with them through a long research window.
03Two audiences: parents evaluating options for a child, and adults who never got treatment. They search differently and need separate pages.
04Each location needs its own Google Business Profile, its own location page, and its own ranking strategy. One campaign spread across five cities can’t rank properly in any of them.
Our Work
We're building our dental portfolio in Florida right now, and we'd rather show you live sites on a call than publish case studies we haven't earned. We're taking on three founding practices at a reduced rate in exchange for a documented case study and a testimonial.

The market rate for a practice website is roughly $4,000 to $8,000 up front, then $300 or more a month to maintain, then a rebuild every few years. Patient Growth Engine covers the build, the hosting, the ongoing improvement and an AI receptionist that costs most practices $700 to $1,400 on its own. Add-ons: additional location $500/month · standalone creative subscription $1,500/month · extra treatment page $300 each. See full pricing.
FAQ
Commonly cited industry benchmarks put established practices somewhere between 3% and 7% of collections, with newer practices spending more in year one to build visibility from zero. Treat those as a starting frame, not a rule. The number that actually decides it is cost per new patient: if an implant patient costs $400 to acquire and produces $4,000, the percentage matters far less than the return.
Google Ads can produce booked appointments in the first two weeks. Local SEO and map pack movement usually show up between months three and six. We normally run both: ads for volume now, SEO to reduce what you spend per patient later.
We’ll tell you honestly after the audit. If your site loads fast, converts, and sits on a platform we can improve, we’ll keep it. If it takes six seconds to load on a phone and has no booking function, rebuilding costs less than working around it.
No. One dental practice per market. If we’re already working with a practice in your city, we’ll say so on the first call.
Treatment value, search intent, and insurance. Somebody searching “emergency dentist near me” needs a phone number in three seconds. Somebody researching veneers may take four months. Agencies that don’t work in dentistry run the same campaign for both and wonder why the numbers don’t work.
Yes. Profile optimisation, posting, Q&A, and an automated review request system are included in every SEO engagement. For local dental search, your profile does more work than your website.
Then we tell you before you ask, and we change it or we end it. There’s no long lock-in on the AI Front Desk or Foundation tiers. An agency that needs a 12-month contract to keep you is telling you something about its results.
Yes. We work exclusively with Florida dental and physical therapy practices. That focus means we know the competition city by city, not just in general terms, and every recommendation is built for how patients search in your specific market.
Yes. Each location gets its own Google Business Profile, its own location page, and its own ranking, set up so your locations don’t compete with each other for the same searches. We report on every location separately, not as one blended number.
Yes, and it’s one of the clearest cases for this kind of marketing. A new practice has no reviews and no rankings yet, so we front-load paid search and your Google Business Profile to bring patients in while the slower assets, like SEO and reputation, build underneath.
